Create the PRINCE2 Communication Management Strategy

 

Prepare the Communication Management Strategy.

 

 
Effective communication can only be achieved if communication class refer to both information flowing out of the project and information flowing back into the project.  It should also cover information both internal to the project and external to the project.
 
Where communication is expected to be complex, then it is helpful to consider performing stakeholder analysis first and communication requirements are to be met.
 
create the communication management strategyIt can be helpful to categorise the different types of stakeholder, their desired relationships and key messages.  Rather than relying on say, just the project manager, it is best to hold a communication workshop and invite representatives from each group or area, and use the workshop to determine the communication needs.
 
The Project Brief should be reviewed to determine if there are any corporate or programme management strategies, standards or practices which can, or should, be applied to this project.  
 
Lessons should be sought from similar previous projects and external organisations related to communication management, some of these may already be recorded in the Lessons Log.
 
The Issue and Risk Registers should be reviewed to identify and act upon any risks or issues associated with communication management.
 
The stakeholders must first be identified, and then consulted to determine their information needs.  This may include any desired relationships, key communication messages, and what they determine as a desired outcome resulting from successful communication.
 
Since this strategy will always be the last one to be created, and this is deliberate, it is important to establish the information needs resulting from the quality, risk, and configuration management strategies.
 
The communication management strategy document should include:

  • How stakeholder analysis is to be carried out
     
  • Specific communication management procedures to be followed
  • Any particular tools or techniques that need to be used
     
  • What records will be kept
     
  • How communication management performance will be reported
     
  • When key communication activities must occur
     
  • The roles and responsibilities to carry out communication activities
 
If any new risks or issues related to communication identified then the risk and issue registers should be updated, or if appropriate then the daily log should be updated as well.
 
Project assurance should be used to review the Communication Management Strategy, and the project board should give approval either at this point or later as part of the Project Initiation Documentation.
